At Broadwas Village Hall, we believe in keeping things simple. Our online booking system enables you to secure your event space quickly and easily with instant quotes and secure digital payments.

When you make a booking, an account is automatically created so you can effortlessly manage your reservations, view invoices, and process payments through our eco-friendly, paperless system—reflecting our commitment to sustainability.

Pricing & Discounts

When it comes to booking and pricing, we like to be transparent. Simplified: 23/24 Hire Fees & Charges Document

Our pricing scheme applies to all our customers. You will be presented with an instant quote when booking online: 

  •  Standard Rates apply to all users, with an instant quote provided when booking online.
  • Charities & Non-Profits qualify for discounted rates by selecting ‘Charity or Non-Profit’ in the Booking Group drop-down menu. Proof of charitable status will be required. Please email proof over or add a comment when making the booking.
  • Regular Users (repeat bookers) can request bookings up to a year in advance and will be invoiced in advance.

💡 Example: If you have four bookings in May, your invoice will be sent on 17th April, with payment due by 30th April to confirm. 

Please Note: If we do not receive the full amount requested in the invoice, then your booking will not be confirmed and may be cancelled. Please do reach out to us in times of difficulty, we really value open communication and if you might be late paying please don't worry in silence, discuss this with us.

Booking Process - Step 1: Registration
Register with our booking system to:
  • View and manage bookings.
  • Make new reservations easily.
  • Access invoices and payment details.

Step 2: Booking Request
✅ Complete the Booking Request Form to submit a Provisional Booking. Our team will:
  • Review your request.
  • Confirm pricing and availability.
  • Send booking details with an invoice and payment link.

💡 Provisional Bookings are secured upon submission, as our system prevents double bookings.
💡 Urgent requests? Contact us via email or enquiry form, and we’ll prioritise accordingly.
💡 As a volunteer-run charity, we aim to respond within 2-3 working days, prioritising urgent queries.

Step 3: Booking Confirmation
✅ Once payment is received, your booking is officially confirmed. You’ll receive:
  • A confirmation email with hire details.
  • Relevant documents, including hall guidelines.
  • Access to additional services, such as cleaning and bar facilities (if requested).
 Payment Terms
💳 Full payment is required before the Hire Period.
💳 Provisional Bookings remain unconfirmed until payment is received.
💳 Overdue invoices result in cancellation of the booking.
💳 Only Confirmed Bookings have authorisation to use the venue.
💳 The Booking Request Form, alongside the Terms & Conditions, forms a legally binding agreement between Broadwas Village Hall and the Hirer. 
 Cancellation Policy
Confirmed Bookings – A full refund is available if cancelled at least two weeks before the event.
Cancellations within two weeks will receive a 50% refund, unless a credit note is requested, in which case the full amount is credited to your account.
Provisional Bookings can be cancelled anytime via the Hirer account in the booking system. 
 Additional Benefits for Regular Users
📢 Publicity & Advertising – We promote Regular Users on our website and Facebook page.
📝 Activity Listings – Add your details to our Activity page via the Help Centre (accessible from your account dashboard).
